On Site: Log, Inspect, Fix

How do I take a site problem from the daily log through inspection, non-conformance and punch item to a verified fix?

Start the daily diary with crew, weather, work done and a photo, then sign it to seal the record. Walk the inspection checklist; when a critical item fails (missing hold downs at a shear wall), record fail and raise an NCR linked to the inspection, with location, severity, root cause and corrective action. Create a punch item from the same inspection; the superintendent, not the person who resolved it, verifies the fix. The punch item and the NCR are separate records, so close each one on its own.

Follow a site issue from the construction daily log through inspection, an NCR and a punch-list item in OpenConstructionERP. The duplex example shows how the team records the problem, assigns the corrective work and verifies the fix.

In this video

  • Start the daily diary with the crew on site, the weather, the work done and a photo, then sign it: signing seals the record.
  • Run a booked inspection and walk its checklist item by item.
  • When a critical item fails, record the fail and raise a non-conformance (NCR) linked to the inspection, with the root cause and the corrective action.
  • Create a punch item from the same inspection, so the crew knows exactly where to go.
  • Resolve the fix, have the superintendent verify it, and close the punch item.
  • Move the NCR through review and corrective action to verification, then close it.

You will produce

A sealed daily diary, a failed framing inspection, a linked NCR with root cause and corrective action, and a punch item for the missing hold downs, each verified and closed.

0:00 Daily log

The site tells you what happened today, who was on, what got done, what went wrong. Capture it the day it happens, and nothing gets lost or argued later. This lesson walks one issue from the daily log to signed off. Here's the plan. First, log the day. Then run an inspection. When something fails, raise a non-conformance and a punch item. Fix the work, verify it, and close both. The superintendent logs the day. The inspector checks the work. Quality raises the non-conformance. The framing sub fixes it, the superintendent verifies the fix, and you close it out. One chain ties the site together. The diary is the record of the day. An inspection checks the work. A failure raises a non-conformance to fix the cause, and a punch item to fix the work, each tracked until it is closed. Open the Daily Diary, and start today's diary with the crew on site. Record the weather by hand and the work done, with a photo. Then sign it. Signing seals the record, so nobody can change it later.

1:05 Inspection

Now inspect the framing. The inspection is booked, with a checklist of what to check on site. Start it, and walk the checklist item by item. At one shear wall, the hold downs are missing. That is a critical item, so the inspection fails. Record the result, and choose fail. A pass needs no follow up. A fail lets you raise the next steps.

1:31 NCR

A missing hold down is structural, so raise a formal non-conformance from the inspection. It comes in linked to the inspection, with the location and a severity. Add the root cause and the corrective action, so the fix is written down. A non-conformance is a loop, not a note. It is raised, reviewed, put right, then verified and closed. It cannot close without a corrective action, and a check that the fix holds.

1:59 Punch list

The crew needs a task they can act on. Back on the inspection, create a punch item. It carries the inspection and the location, so the framing sub knows exactly where to go. Add a photo of the problem, and start the work. The framing sub installs the hold downs. Mark the item resolved. The superintendent checks it on site and verifies the fix, because the app keeps whoever resolved an item from verifying it. Then close the item. The punch item and the non-conformance are separate records, so close each one on its own. Back on the non-conformance, advance it through review and corrective action to verification, then close it. That is the site, end to end: a sealed daily log, an inspection, a non-conformance and a punch item, each closed with a trail you can stand behind. Log one day on your job this week.
