The Big Picture: KPIs to Portfolio

How do I see at a glance which of my jobs needs attention today?

Open Project Controls for a job: KPI tiles are grouped by cost, schedule, quality, safety, risk and change, each green, amber or red, and a dash means no data yet. Use the needs-attention list as your daily to-do, and click a tile to open the source records behind it, such as the failed inspection. Finance shows planned, committed, actual and variance by division. The Projects list shows each job's estimate value and region; to compare jobs you put value and progress side by side yourself.

Use construction KPIs and project dashboards in OpenConstructionERP to see which jobs need attention. This lesson moves from one project’s cost, schedule and quality records to a comparison of the whole portfolio.

In this video

  • Read Project Controls for one job: KPIs grouped by domain (cost, schedule, quality, safety, risk, change), each banded green, amber or red.
  • Use the needs-attention list as your to-do for the day.
  • Click a tile to drill into the source records: here, the quality tile leads straight back to the inspection that failed on site.
  • Use the budget as the reference for the money: planned, committed, actual and variance by division.
  • Step up to every job on the Projects list, and compare jobs side by side to see which one needs you this week.
  • One project or twenty, the same screens.

You will produce

A read of Project Controls KPIs by domain, a drill from the quality tile to the failed inspection, the budget by division, and a Projects list to compare jobs.

0:00 KPIs

When you run more than one job, you cannot watch them line by line. You need to see, at a glance, where to look today. This lesson is the big picture. Here's the plan. First, read the KPIs for one job. Then drill into what needs attention. Then step up to the whole portfolio. Finally, see how this scales as you grow. Every lesson so far fed these screens. The estimate, the budget, the schedule, the changes, and the site: each team's work rolls up into the numbers you read here. A KPI is one number that says whether something is on track. Group them by what matters, cost, schedule, quality, safety, risk and change, and a color tells you where to look first. Open Project Controls for the duplex. Its tiles group the job by domain, each banded green, amber or red, and a dash means there is no data yet. Start on the site side: quality, safety, risk and changes.

1:00 Drill in

The screen also lists the KPIs that need attention, the few numbers off track. Read that list as your to-do for the day. Click a tile, and a drawer opens with the source records behind the number. Here, the quality tile leads back to the inspection that failed on site. From the big picture straight to the cause. For the money itself, the budget you built is the reference. Open Finance for the duplex, and each division still shows planned, committed, actual and variance, line by line.

1:32 Portfolio

Now zoom out to every job you run. Open Projects, and each one has its own card, with its estimate value and region. The strip on top adds up what you have on the books. Open a card, and you are in that job. To compare them, put the jobs side by side yourself. Take each one's value and how far along it is, straight from its own records, and you see which job needs you this week.

1:58 Scale

This is what scaling looks like. One project or twenty, the same screens. The platform grew with you, from your first company setup to every job on one list. That is the big picture: KPIs by domain, a drill to the cause, the budget for the money, and every job on one list. You have run a whole company on one platform: estimate, bid, budget, schedule, subs, site, and the numbers that tie them together. Put your own projects on it.
